Keep historical settled transactions and attachments in the migrated system or a searchable archive.

Separate payment preparation from approval and release. Use approval limits and independently verify supplier bank-detail changes through established contacts. Maintain records of imported, rejected and amended transactions, and investigate failed integrations.

Use AI to route exceptions, not bypass review

Start with repeatable transactions and compare AI suggestions with an accountant’s checked results. Send uncertain coding, possible duplicates, unusual values and incomplete documents to a reviewer. Retain approval requirements for journals, payments and tax submissions. Track correction rates alongside time saved, and confirm confidentiality and data-access arrangements before using AI tools.

For example, a supplier-bill workflow could extract data, check arithmetic and suggest an account code. A possible duplicate or unfamiliar VAT treatment should remain pending until reviewed. Do not treat an AI confidence score as proof of validity.

Distinguish scanned invoices from UAE e-invoicing

The FTA distinguishes structured eInvoices from PDFs, scanned copies, images and emails. Those formats are not, by themselves, eInvoices under the UAE programme. Check applicable requirements through the Ministry of Finance. Clean master data and test invoice corrections, rejected submissions and record retention; transmission does not replace VAT review.

Build a rolling cash-flow view

Use a rolling 13-week cash forecast, updated weekly, covering expected receipts, supplier commitments, payroll, rent, taxes and financing. Separate uncertain collections from confirmed receipts. This is a management tool, not a statutory requirement.

For example, AED 120,000 opening cash plus AED 90,000 receipts minus AED 160,000 payments leaves AED 50,000. If AED 40,000 of receipts is delayed, closing cash falls to AED 10,000. That exposes a specific collection or funding decision.

Make month-end reporting a controlled process

Agree a close calendar covering reconciliations, accruals, prepayments and relevant inventory, asset and tax schedules. Assign preparers and reviewers, explain adjustments and restrict changes after approval. Keep unresolved items visible rather than creating entries merely to force balances to zero. State the reporting date and any material limitations.
